Vendor & service contracts
Vendor contract management software for real estate operators
Vendor contract management software keeps every agreement with a supplier — service contracts, consulting agreements, purchase orders and amendments — in one system from request to renewal. CAMARC does this for commercial real estate teams: each vendor contract is tied to its property, owning entity and market, routed for the right approvals, signed through Adobe Sign and tracked until it renews or ends.
- 500+ contracts a month at a Fortune 500 life-science REIT
- COI renewals tracked with automatic alerts
- Fees allocated across entities inside the contract
- Executed data can feed your ERP
What is vendor contract management?
Vendor contract management is the process of requesting, approving, signing, storing and monitoring the agreements an organization has with its suppliers, so that every vendor is under a current contract with the right terms, insurance and renewal dates.
In commercial real estate it is harder than it looks. The same vendor — a janitorial company, an HVAC contractor, a security provider — may serve dozens of properties owned by different entities. On-site teams request the work, legal reviews the terms, procurement owns the relationship and accounting pays the invoices. When the contract lives in an email thread, nobody has the whole picture.
For the full process, see our guide to vendor contract management.
What does CAMARC manage for vendor contracts?
Everything from the first request to the renewal decision, in one record per contract.
Requests by property
Site and operations teams request a vendor contract with the property, entity, vendor and amount filled in, so the contract is filed correctly before anyone drafts a word.
One record per vendor
Vendor details, contacts and attachments are stored once and fill new contracts automatically, so names and addresses match across every agreement.
Learn more →Templates by contract type
Consulting services agreements, purchase orders and amendments are generated from approved templates and attached to the record automatically.
Learn more →Approval routing
Contracts go to risk review and to paralegal or legal review when they need it, with the background reviewers need, instead of every contract waiting in one queue.
Vendor signature through Adobe Sign
Internal and vendor signers are set in order with a response date and a hard deadline. The signed contract comes back to the record.
Learn more →Obligations, renewals and COIs
Renewal dates, obligations and certificates of insurance are tracked with alerts, so a vendor does not keep working on an expired contract or lapsed policy.
Learn more →COI tracking and multi-entity fee allocation are part of the published REIT deployment. Tell us in the demo which of them you need.

-
1
Request

-

The assignee generates the agreement from the template for its type.
-
3
Review
Routing decides whether it needs risk, paralegal or legal review.
-
4

-
5
Track
Renewals, obligations and insurance are monitored with alerts.
-
6
Report
Volume by contract type and market on the dashboard; every contract by vendor in the listing.
Vendor contract software vs. spreadsheets and email
Most real estate teams start with a shared drive, an inbox and a tracker spreadsheet. This is what changes.
| Task | Spreadsheets and email | CAMARC |
|---|---|---|
| Requesting a contract | Email to legal with whatever details the requester remembers | A request form with the required fields for that contract type |
| Finding the current version | Search inboxes and shared folders | One record per contract with version history |
| Approvals | Forwarded threads; hard to prove who approved what | Routed to the right reviewers; every approval logged |
| Vendor signature | Separate e-signature account, then file the PDF by hand | Adobe Sign started from CAMARC; signed copy filed to the record |
| Renewals and insurance | Calendar reminders, if someone set them | Tracked dates with alerts |
| Reporting | Rebuild the spreadsheet every month | Live dashboard by stage, contract type and market |

Frequently Asked Questions
What is vendor contract management software?
Software that runs the lifecycle of supplier agreements in one place: request, drafting from templates, approval routing, e-signature, storage, and tracking of obligations, renewals and insurance. It replaces the mix of email, shared folders and tracker spreadsheets most teams start with.
Can CAMARC track vendor certificates of insurance?
Yes. Automated COI tracking with renewal alerts is part of the published REIT deployment, where it replaced spreadsheet tracking that had let renewals lapse.
Can one vendor contract be split across several entities?
Yes. Fees can be allocated across owning entities by percentage or by fixed amount inside the contract, which the published REIT deployment uses for multi-entity agreements.
Does CAMARC connect to our ERP or accounting system?
In the published deployment, executed contract data feeds the client’s ERP for billing and financial close. What we connect to in your case depends on your system, and we scope it after the demo.
How do vendors sign?
Vendor signers receive an Adobe Sign request by email, in the signing order you set. The signed contract is returned to the CAMARC record.
Is CAMARC only for vendor contracts?
No. The same workflow handles leases and lease amendments, consulting agreements, purchase orders, NDAs and other contract types. Many teams start with the contract type they handle most often and add others once it is running.
