How a Fortune 500 life-science REIT cut contract prep time by 78%

A Fortune 500 real estate investment trust with a nationwide portfolio of life-science properties replaced spreadsheets and email chains with CAMARC. Contract preparation went from 4–5 days to 1.2 days, and the team now processes 500+ contracts a month with a complete audit trail.

What was the problem?

Managing a nationwide portfolio of life-science properties meant handling hundreds of commercial lease contracts every month. The process was fragmented: requests arrived by email, status lived in spreadsheets, and nobody could see where a contract was or why it was stuck.

  • 4–5 days per contract, with manual data entry and frequent errors.
  • No visibility into contract status or bottlenecks.
  • Manual calculations for fees split across multiple entities.
  • Certificate of insurance (COI) gaps: spreadsheet tracking led to missed renewals and compliance lapses.
  • No audit trail of approvals or version history.

What was built?

A single contract platform, CAMARC, running inside the client’s existing Microsoft 365 tenant and covering the full lifecycle in six stages: request, admin review, preparing, legal and risk review, execution and fully executed.

One workflow for every contract

Six approval stages, three user roles and 140+ templates, so every request follows the same path.

Automated COI tracking

Certificate of insurance renewals and expirations are tracked with alerts, replacing the spreadsheet that had let renewals lapse.

Multi-entity fee allocation

Fees are allocated across entities by percentage or fixed amount inside the contract, instead of by hand afterwards.

AI on Azure OpenAI

AI suggests relevant clauses from the client’s own library based on the contract’s context.

Dashboards in Power BI

Three Power BI executive dashboards for reporting across the portfolio.

Executed data to ERP

Executed contract data feeds the client’s ERP for billing and financial close.

Which Microsoft 365 services does it use?

Because this deployment runs on Microsoft 365, the client did not add a separate document store or identity system.

How was it rolled out?

Sixteen weeks in four phases, with the first build in week 7.

  1. 1

    Discovery and audit

Weeks 1–4. Five departments and 23 bottlenecks mapped.

  2. 2

    Core platform build

Weeks 5–10. Workflow, roles and templates configured; first build in week 7.

  3. 3

    AI and analytics layer

Weeks 11–14. Clause suggestions and dashboards added.

  4. 4

    Go-live and optimization

Weeks 15–16. 85+ users trained and 200+ existing contracts migrated.

What were the results?

The case study reports these outcomes since launch:

  • Contract preparation time down from 4–5 days to 1.2 days, a 78% reduction.
  • 500+ contracts processed every month with complete audit trails.
  • Zero compliance lapses since launch, with COI renewals triggered automatically.
  • 100% adoption reported.
“CAMP redefined how our legal and operations teams collaborate on contracts. What used to take nearly a week now happens in just over a day — and every action is tracked, compliant, and audit-ready. The AI clause suggestions alone have saved our attorneys hundreds of hours.”
VP of Operations, Fortune 500 life-science REIT. (CAMP is the platform name used in the original case study.)

Frequently Asked Questions

Who was the client?

A Fortune 500 real estate investment trust with a nationwide portfolio of life-science properties. The client is not named publicly.

How long did the rollout take?

Sixteen weeks in four phases: discovery and audit, core platform build, AI and analytics, and go-live. The first working build was ready in week 7.

Did the client need new software licenses?

According to the case study, the platform runs inside the client’s existing Microsoft 365 tenant with no additional platform licensing. Licensing for your organization depends on your Microsoft 365 plan, which we review during scoping.

What happened to existing contracts?

More than 200 existing contracts were migrated into CAMARC during go-live, so the team started with a complete record rather than only new contracts.
